Admin Tools Overview

  • The Admin Tools screen will give OneSource Developers, OneSource Tech Support Staff, and our Customers a screen that provides the following Admin Tools:
    • Audit Log
    • Sync Comparison
    • Version History
  •  The Admin Tools screen can be accessed by clicking on the Admin Tools link on the MAIN GEAR drop-down list in the top right corner.
    • If a user clicks on the Admin Tools link that is NOT in the Admin group (in the user security) they will be given this message.
      • Icon: Info
      • Title (none)
      • Desc: The Admin Tools screen is only accessible to OneSource users who are in the Admin group.  If you need access to this screen please contact your system administrator.
  • Each of the ‘tools’ on the Admin Tools screen will be displayed on a ‘sub-menu’ (kind of like how the Settings screen has sub menu’s to the right of the Main Nav Bar menu items.

Sync Comparison

 

Changes to be made…

  • Change the Yellow and Red row color backgrounds to Yellow (#ffff99) and Red (#ff9999)
  • Stack the Data Type and Filter By on top of each other on the left side. Stack the Date Added – Start Date and Date Added – End Date field to the right.  Make the Start Comparison button taller.  Add a Progress Bar.
  • When comparing the Items lists it is crashing.
  • Leave the Sync checkbox where it is, then move the Un-intentional column to the right of the Sync column.
  • Sort the records in this way:
    • Unintentional, then QBO record alpha/numeric, then OS record alpha/numeric ascending
    • Intentional, then main record alpha/numeric ascending
    • the rest…, then main record alpha/numeric ascending
  • When the user clicks the Sync checkbox auto update the actual record Sync value…
  • Add a magnifying glass button next to the OS record or transaction to make it easy to open up in a NEW tab…
  • Add a footer with a Close button and a Help button.
  • Paginate the screen to try to always use the full screen but no scrolling…

Overview of the Sync Comparison Screen

  • The Sync Comparison screen will give US (internally) and our customers a TOOL to analyze how ‘in sync’ OneSource is with QuickBooks Online.
  • It will help us and our customers know if there are any QBO ‘List’ items or ‘Transactions’ that are NOT in OneSource and vice versa.
  • The ‘Sync Comparison’ screen will be a Sub-Navigation option on the ‘Admin Tools’ screen (which can be opened from the GEAR in the top right corner).

What it Looks Like

Title

Header Section

  • Data Type (drop down list): The drop down list will have these values:
    • Customers
    • Vendors
    • Items
    • Item Inventory Levels
    • Item Stock Value
    • Invoices & Credits
    • Purchase Orders
    • Payment Terms
    • Tax Codes
  • Date Range (fields): The fields will be called: ‘Start of Range’ and ‘End of Range’ and will be date selector fields.
  • Start Comparison (button): When clicked this will cause the process to execute the comparison, based on the Data Type selected and the Date Range selected.
  • Progress Bar: This will be a horizontal progress bar located in the top middle to top right section of the Header area.
  • Filter By (Drop Down list).
    • This will be located in the top right corner of the header area.
    • It will have these options:
      • All Records (default)
      • All Unmatched (intentional)   [This will show all records where the SYNC checkbox in OneSource is NOT checked, and therefore not intended to be synced.]
      • All Unmatched (un-intentional)   [This will show all records where the SYNC checkbox in OneSource IS checked but is NOT synced properly.]

Body Header

  • This will have the download icon.  When clicked it will download ALL records in the returned results to Excel.

Body

  • Design notes:
    • All columns will be sizable and sort-able.
    • All columns will have a magnifying glass button to open the record (in a new tab) in OneSource.
    • All Unmatched (Intentional) columns will have a YELLOW background for any records where there is not a match.  (See above for explanation)
    • All Unmatched (Un-Intentional) The Matched column will have a RED background for any records where there is not a match–intentionally. (See above for explanation)
  • If the Data Type is Customer the columns will be:
    • QuickBooks Customer 
    • OneSource Customer 
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Vendor the columns will be:
    • QuickBooks Vendor
    • OneSource Vendor 
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Item the columns will be:
    • QuickBooks Item (This will show the Item #)
    • OneSource Item (This will show the Item #)
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Item Inventory Levels the columns will be:
    • QuickBooks Item (This will show the Item #)
    • OneSource Item (This will show the Item #)
    • QB QIS
    • OS QIS
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Item Stock Values the columns will be:
    • QuickBooks Item (This will show the Item #)
    • OneSource Item (This will show the Item #)
    • QB Total Value
    • OS Total Value
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Invoices & Credits (Totals) then the columns will be:
    • QuickBooks Invoice # (This will show the Item #)
    • OneSource Invoice #(This will show the Item #)
    • QB Total
    • OS Total
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Invoice & Credits (Costs) then the columns will be:
    • QuickBooks Invoice # (This will show the Item #)
    • OneSource Invoice #(This will show the Item #)
    • QB Cost Total
    • OS Cost Total
    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Intentional) (this will show a checkbox with a checkmark when the value = true)
    • Unmatched (Un-Intentional) (this will show a checkbox with a checkmark when the value = true)
  • If the Data Type is Purchase Orders then the columns will be:
    • QuickBooks Invoice # (This will show the Item #)
    • OneSource Invoice # (This will show the Item #)

    • OneSource Sync Field (this will show a checkbox with a checkmark when the value = true)
