Overview of the Customer System

  • The Add New Customer form will give the user an easy way to add customer (& prospect) records on the fly (using the + sign, and/or when entering a new customer record (not found in the drop down list) when creating a new Quote (or Estimate), Sales Order, Invoice, or Credit Memo).
  • The Customer Details form will give the user a simple way to view ALL related Customer detail information, such as Contacts, Tasks, Jobs, Sales History, Pricing, Notes, etc…

How It Works

  Title Section

Title: Add New Customer or Prospect

Fields and Objects in Detail Area

  • Auto Fill Type:
    • This is a drop down list that shows the Auto Fill Types.  When selected auto fill in all fields that have a default value related to the selected Auto Fill.
    • Cursor behavior: When there is NO Auto Fill Profile set up (in the Settings) then auto set the focus on the Customer # field. If the Customer # fills in automatically then auto set the focus on the Company Name field.
  • Customer #: This can be auto filled or manually filled in by the user, depending on the Customer – Record Number Settings in the Settings > Record Numbering.
  • Address Type: (This is a TYPE 2 Drop Down List with these values:  Both (Bill To & Ship To), Bill To, Ship To)
  • Company Name (Text):
    • This stores the Company Name. When the user exits the field check to see if that exact company name already exists.  If so, pop up message: Title: Oops! Message: This company name already exists.
  • Prefix (This is a TYPE 2 Drop Down List with these values: Mr. Ms. Miss. Dr.)
  • First Name
  • Last Name
  • Title (This is a TYPE 3 Drop Down List)
  • Address Info (block of fields)
    • Address 1

    • City  (This is a TYPE 3 Drop Down List)

  • Default Pricing Method: (This is a TYPE 2 Drop Down List, using these values:

    • Discount: Always Discount the Item List Price by the percentage entered below.
    • Markup: Always Markup the Price (above Cost) by the percentage entered below.
    • Multiplier: Always Multiply the Item List Price by the percentage entered below.
    • Item Price Level: Always use the Item List Price Level entered below.
    • Item List Price: Always use the Item List Price.
  • Pricing Templates:  (This is a TYPE 1 Drop Down List, using the Payment Methods table/List in QBO)
  • Sales Rep
